1. Overview #
This Privacy Policy explains how PlayCourse Ltd ("we", "us") collects, uses, and protects personal data when you use our website, customer dashboard, and licensing services. It applies to data we control as a "data controller" under the UK GDPR and EU GDPR.
Important: the PlayCourse plugin runs on your own WordPress site. Data about your students and their course activity is stored on your server, where you are the data controller. This policy covers only the data we process to provide your account and licenses.
2. Data we collect #

3. How we use data #
- To create and manage your account and license activations.
- To process payments, renewals, and refunds.
- To provide support and respond to your enquiries.
- To send service messages (renewal reminders, security notices) and — only with consent — product news.
- To detect abuse, enforce license limits, and secure our Services.
4. Legal bases #
We process personal data under the following bases: contract (to deliver the Services you purchase), legitimate interests (to secure and improve the Services), consent (for marketing emails), and legal obligation (to keep tax and accounting records).
5. Sharing & processors #
We do not sell your personal data. We share it only with trusted sub-processors who help us run the Services, under data-processing agreements:
- Stripe & WooCommerce — payment processing
- A transactional email provider — account and service emails
- Cloud hosting & analytics — infrastructure and privacy-respecting usage metrics
6. Cookies #
We use essential cookies to keep you logged in and secure your session, and optional analytics cookies to understand how the dashboard is used. You can manage optional cookies through our cookie banner or your browser settings.
7. Data retention #
We keep account and license data for as long as your account is active, plus a reasonable period afterward. Billing records are retained for up to seven years to meet tax obligations. When you close your account, we delete or anonymize data we no longer need.
8. Your rights #
Subject to applicable law, you have the right to access, correct, export, restrict, or delete your personal data, and to withdraw consent at any time. You can exercise most of these directly from your account settings, or by contacting us. You also have the right to lodge a complaint with your local data-protection authority.
9. Security #
We protect data with encryption in transit, hashed passwords, access controls, and regular security reviews. No system is perfectly secure, but we work hard to safeguard your information and will notify you of any breach affecting your data as required by law.
